I know when you look at the stamps you sold (VIEW SOLD LOTS) and select the 365 days - you can click on the item # (LOT #) and it will bring up the page of the approval book that the item belongs to. I just did it for a stamp that goes back about 11 months ago and the book has been closed for a long time. I guess if the sold stamps go back longer than 365 fays this will not work.
In my case, the 365 day window helps me to only see the category the book was listed under.

In a few cases I was able to solve it because I kept a list with the sales per approval book, including a description of the book's title and number, as well as the date I put it online. With that I could backtrack to the scans, which I have all kept (for 5 years of approvals, that's a lot of scans!) and find out which stamps had been sold.
Today, I try to do things differently. I take out the stamps as soon as possible and put them in a glassine envelope with the buyer's name on it. That also makes it easier when the buyer wants to have his invoice, or I decide it is time for invoices.

When I use the view sold lots and click on the lot # - I see a picture of the entire approval book page - even if the book was closed many months ago. Not just the category - the actual page of the book is shown - so I can see the title of the book from the page shown. I assume it is designed that way - I do not think I have "special" powers ! Steve, I think you are lucky your book wasn't deleted.
I use the approach Jan-Simon suggested with going by dates and digging out scans from my computer but it is not very bulletproof.
Jan-Simon, I now wonder how many of your stamps I will be able to recover. I will pack the orders tonight.
Just a thought but could the buyer not dig out the emails from Stamporama that advise of each days purchase? May give you some idea of what/where to look.

Wait a second. I THOUGHT the whole issue with closing books and shutting them down automatically was due to the fact that the images were taking up too much space on the server. How can these images still be recovered if the books are being closed? While I can understand a month or so delay in image deletion, this seems like a much longer period of time for closed book images to stay on the server. Why not just keep the books open?

The automatic approval book closure is to close non-performing (no sales) books, not to clear space on the server.
To clear space on the server, a separate clean-up routine runs and removes images not just from the approval books, but from the auctions as well. Prior to creation of that routine, images from sold items were not removed.
I am putting together an order that goes way back. One of my approval books is now not visible and I have no idea what stamps it contained.
Luckily it is only six 5 cent stamps I have to account for, but my client may be a bit disappointed with how I handle things.
So is there a way to at least see the title of an already deleted approvals book? This may help me to actually locate the stamps.
