Well this is bigger than I thought.. The count is down because all of the lots I sold on Auction in the past (I have not done many recently) are no longer showing up as sold items in my counts. Also if you look at an older invoice that was a mix of approvals and auctions - the invoice total is still a higher amount but the only items showing on the invoice are approvals - the auction lots are no longer listed. Does this have something to do with the older images that were removed ? I was able to confirm this with one buyer who bought many of my clearance lots on Auctions and also had a handful of approvals from books at the same time. The invoice total shows over $5.00 but you only see a handful of approvals on the list. The auction lots are no longer accounted for on the invoice - so that is why my overall items sold count suddenly went down... Can someone confirm this is what has happened ? Thanks, Steve
Tim may be tied up until the weekend, so I will offer a partial answer until he can give a full one.
The auction history database has been cleaned up so that it no longer contains any history older than 6 months. This was part of the auction and image cleanup.
Tim has not tackled the Approvals cleanup yet.
I do not know where the count of "Lots sold" comes from. Tim will have to answer that.

Roy, the counts for a person's lots sold and bought are found in their profile.
"the counts for a person's lots sold and bought are found in their profile."
My count does not include any auction lots sold older than May also invoices starting in April and going back from there no longer show the auction items either so I would assume it was all coming from the same data source which now has lost the data older than 6 months I guess it does not matter since invoices older than 6 months probably are not too important
They are not too important from an individual stamp standpoint as long as the dollar figure is correct for tax records. If the dollar figure has been compromised it could be problematic, particularly in the case of a tax audit.
The Auction Lot History records were cleaned up along with the images for lots where the closure date was older than 6 months. The count in the profile at the moment only reflects Auction Lots closed in the last 6 months. I have modified the Auction Image Cleanup program to make it not delete the Auction Lot History records as it cleans out the images. Unfortunately the Invoices were also affected. They are only showing auction lots settled in the last 6 months.
Regards ... Tim.
Big Ooops
I know that my total of lots won had been approaching 11,000 and now shows about 7,500.
Once before I thought I had about 8,000 and a month later wondered why it seemed lower then it should be, but then I figured it was just my forgetter working better and better.
I guess it has been dumping historic sales for some time and only this last dump at the six months mark was enough to notice.
I have been buying actively for five years from this source, minimally, if at all, before that.
If 7,500 represents the last six months (???) I wonder what five years total would be 50,000 ?
Assuming my constricted stamp budget over the last five years, I think that 50,000 stamps might be close.
Can a gross total be rescued ?
Hi Everyone;
I believe for tax purposes, sales records should be retained for seven years. Is that correct?
Maybe Michael##### can weigh in on that for us.
I downloaded all of my invoices except for just one that I missed.
still sortin'....

If you are going to keep records for value of sales then you also need to keep a record of time spent in preparing and putting up items as well as costs involved in purchase for resale.
At the end of the day I would imagine that most of us, on even a minimum wage rate, would not show a profit and the likelihood of revenue officers chasing us is quite small. They are more concerned with those that Ebay and other sites declare as having sales over certain figures.
One of the TV shows that always comes to mind is "Thrift Hunters" who always seem to ignore their time and tax when predicting profits.
I would not have noticed and it really is not important but I noticed today that when I look at my statistics under my id - the number of lots I sold has gone down since yesterday ? The only reason I knew this was because I just went over the 60,000 lots sold mark a few days ago and now it is showing I am below that again ? Only because I hit such a milestone would I have noticed the reduction in the number. Is there a time limit for how long the system calculates the sold lots - I just went over my third year anniversary with SOR and I am wondering if I lost sales that are greater than 3 years now in the overall count ? As I said only because I noted the total a few days ago was around 60,100 and now I am down around 59,000 again ? Thanks, Steve
