I know what you mean, but what I do is go to invoicing find the # open up the invoice and click on the close button.
You can set it up to show last week ,last month so on and so on This means you don't have to scroll through all your invoices.
Hope this helps. It's all trial and error.

I wish there was a way to delete old invoices.
I second that, John!
Many - if not most - of mine are from YEARS ago.
Randy
Mike,
I'm sure that I can take care of that and add the receiver's ID in the message. I'm surprised that someone hasn't asked for that before.
John and Randy,
People have been wanting to be able to delete invoices for a long time. I think it is time we did something about it. The hard part is that the Invoices are shared by two people, the buyer and the seller. When the buyer is ready to get rid of the invoice isn't necessarily the time that the seller wants to get rid of the invoice. What if we made it so that invoices are kept for 12 months and then automatically deleted. Surely they have been sorted through and paid by then. I could have a program that runs each night that deletes invoices that are older than 12 months. Thoughts?
Regards ... Tim.
Hi Tim,
Thanks for looking into that. Sometimes the buyer does include their ID, but most do not and if there is a message to review, it would help to not have to check back paperwork.
As to invoices, I mark mine as closed after I have mailed them. So when I call up my invoices, I have the drop down box set to active so I only see the ones I need. IMHO, 12 months is plenty of time to settle an invoice. I seldom go over 3 months and on the very rare occasion might get close to 6 months. 12 months is fine with me.

12 months sounds like a good choice.
12 months would be just fine with me.
If anyone wanted to keep older records for themselves, they could save it to their own file, or print it out by year if they so choose.
I find that scrolling through all the "extra" is a waste of time and space.
I would welcome Tim's idea.

In the event of a tax audit, a commercial dealer will have to have records that can be verified by IRS. You may want to check with commercial sellers to see if keeping the invoice (sales) information on the system is needed. Most sales sites that I know of keep this information indefinitely.
If it were optional where a seller could select to delete invoices or not, that may be best, if it can be programmed that way.
Adding the ID of buyers sounds very good and Twelve months is more than sufficient and would be a blessing for deleting invoices! I'm sure there are others that also have sales records for people that have passed away, or no longer members of SOR that would be very happy to see all of those "old" listings disappear.
Mike
I'm in agreement. I would like to delete or automatically hide invoices that are aged.
Thinking about that long-term retention issue that Michael raised in posts above, what if there were simply an additional choice to "hide" invoices? That way they would not have to be deleted, but they would just be out of sight until/unless needed. Record integrity would be maintained, but the old ones wouldn't be getting in the way anymore, unless one needed them to be.
I'm leaning towards keeping all the invoice information, just in case it is needed at a later date and make the default only show the last 12 months invoices. In fact, I could make it so that the "12 months" is configurable by user, in other words it could be a configuration on your membership profile.
Thoughts?
Regards ... Tim.
Having it configurable would be great.
My two cents;
I just "close" invoices, then select view only open invoices as others have mentioned, so no problem here!
I'd also really like to keep the old records just in case of a tax audit and for other reasons - please don't delete them. I really don't know any way to copy the info and store somewhere else in the cloud. A "hide" option sounds perfect.
Thanks!
A hide options seems like the best idea. But why define it at 12 months? Why not make it flexible, like 3, 6, 9 Months if one chooses? Just my 2 c.

Mike,
I've added the Buyer's Name and Username to the email that is sent on Shipment Receipt Confirmation.
Randy et al,
I'm assuming that you are talking about the buyer's list of Invoices (the My Invoices) function under the Buyer's Dropdown, because the Seller's invoice List already has a drop down for an age selection of Invoices. I've added a similar dropdown to select the age of the Invoice that is selected to the "My Invoices" function. It defaults the invoices received in the last month. Please give it a try and let me know what you think.
Regards ... Tim.
Tim,
Would some members want a "one year" choice as well?
Anyone have an opinion on this?
...and thank you, Tim, for the modification!
Randy
Hi Randy,
There is a 1 Year choice there. The options are 1 month, 6 months, 12 months and All Invoices.
Regards ... Tim
Oops!
Missed it!
Thanks, Tim.
Hi Tim,
When a buyer uses the system to acknowledge receipt of an auction mailing shipment, the email does not have any buyer's ID on it. It only has the invoice number and any message the buyer has added. Any chance of adding the sender's (buyer's) ID to the email.
Right now, I have to go back thru my paper copies of the invoices for the number to see what shipment the email relates to.
Thanks
